1. POSITION DETAILS

1.1. Position: Document Control Coordinator (DCC)
1.2. Department/Location: Building and Infrastructure
1.3. Reporting To: Project Manager/Operations Manager
1.4. Key Working Relationships: All KSA Building and Infrastructure (BIC) business units


2. MINIMUM REQUIRED QUALIFICATIONS

2.1. Core Skills:

  • Strong communication skills
  • Proficiency in MS Office applications

2.2. Education:

  • Bachelor’s degree or equivalent

2.3. Technical Knowledge:

  • Project coordination
  • Data management and document control
  • Customer support
  • Team collaboration and communication
  • Time management and follow-up

2.4. Experience:

  • Minimum 2 years

3. RESPONSIBILITIES / AUTHORITIES / ACCOUNTABILITIES

3.1. Primary Functions:

  • Manage document control processes for project-related files on SharePoint and ensure timely notifications to team members.
  • Coordinate with project team members to facilitate seamless workflow.
  • Update and maintain relevant IDI logs and trackers accurately.
  • Provide client support through phone calls and emails.
  • Distribute daily inspection appointments to inspectors.
  • Assist with invoice preparation and follow-up with clients.
  • Upload and download documents/reports on the Malath portal.
  • Maintain professional communication and behavior with clients.
  • Exhibit effective communication and coordination skills with colleagues and clients.
  • Perform additional tasks as assigned by the line manager, within competency limits.

Other Responsibilities:

  • Adhere to HSSE policies and procedures at all times.
  • Uphold ethical standards and comply with the code of ethics.

3.2. Authorities:

  • As per Bureau Veritas policies.

3.3. Technical Expertise:

  • Proficiency in project coordination, data management, document control, customer support, team collaboration, communication, time management, and follow-up.

3.4. Business Requirements:

  • Strong reporting and communication skills.

3.5. QHSSE Responsibilities:

  • Implement BV safety programs within the team.
  • Comply with all applicable legal requirements and BV HSE policies, procedures, and practices.
  • Maintain a tidy and hazard-free personal work area; immediately report deviations or hazards to the relevant manager or HSE representative.
  • Report newly identified hazards and cooperate in establishing suitable controls to mitigate risks.
  • Promptly report any HSE incidents and assist in investigations.
  • Take action against unsafe acts or conditions and report them accordingly.
  • Ensure personal health and safety and the safety of others potentially affected by your actions or inactions.
  • Cooperate with health and safety measures, refraining from interfering or misusing safety provisions.

  • Stay informed on industry trends and advancements in document control technologies to enhance efficiency.

Essential Requirements:

  • Bachelor’s degree in a relevant field.
  • At least 10 years of proven experience as a Document Controller in construction projects.
  • Expertise in document control procedures, systems, and standards.
  • Proficiency in using Aconex or similar software.
  • Strong attention to detail and exceptional organizational skills.
  • Excellent communication and interpersonal abilities.
  • Ability to perform effectively in a fast-paced construction environment.
  • Solid understanding of construction project management processes.
  • Strong problem-solving skills and independence in decision-making.
  • Certification in document control or a related field (preferred).

– Following and improving document control procedures

– Review and update technical documents (e.g. manuals and workflows)

– Create templates for future use

– Retrieve files as requested by employees and clients

– Manage the flow of documentation within the organization

– Maintain confidentiality around sensitive information and terms of agreement

– Prepare ad-hoc reports on projects as needed

– Ensuring all documentation meets formal requirements and required standards

– Sorting, storing, and retrieving electronic and hard copy documents on behalf of clients and industry professionals

– Producing document progress reports for senior managers

– Conducting regular reviews and document audits

– Helping in the planning stages of a specific project
